Moving Your Office Should Not Be a Headache

Planning and executing a full office move is no one’s idea of fun. But there’s no reason it has to be awful. It’s both an art and a science that, luckily, some of us are adept at handling.

At Business Moving Solutions Inc. (BMSI), we provide a wide range of workplace solutions, including a full and complete moving system that you can use to make your office relocation headache free.

We’ll be your partner throughout the process, providing you with industry expertise that can only be earned by doing this kind of work regularly. With our help, you can minimize the disruption to your business that moving can cause and get up-and-running in your new digs as quickly as possible. When on the move in the Wilmington, New Castle, Delaware, Philadelphia, or Delaware Valley region, realize that BMSi has done this for many clients before.

Our turn-key relocation support will plug you into an already fully developed system; you don’t have to reinvent the wheel because we’ve already done that. We’ll help you plan and budget your move, tie up the loose ends at your old space, prep and make ready your new space, and not only hold your hand through the whole process but carefully pack up your property and lug your furniture too.

With our team of packers and movers, computer technicians, document specialists, and operational managers, we will seamlessly handle the planning, logistical challenges, and physical movement of your assets to your new place of business.

Step-by-step, we’ll hammer out a realistic schedule, inspect everything so there are no surprises, pack and label your property, make sure your IT transfers successfully (including the under-the-hood cabling that can be such a headache), install furniture both new and existing (including cleaning services that can bring new life to what you already own), make the move, and decommission the space your leaving (including full cleaning and renovations to ensure you meet the requirements of your lease).

It all starts with getting fully organized and bearing down on the logistical planning. We’ll help you create in-house lines of responsibility and a systematic approach to getting everything where it needs to go (and making shrewd decisions about the best way to use your new space). There will be project plans, space planning, and an increasing sense that you’ve got things under control.

We’ll have our tech team integrate with your team to institute a careful powering-down process that will lead to a smooth and successful powering-up on the other end of the move. Issues like degree of confidentiality and chain of custody will be managed and any sensitive materials treated appropriately.

Our crew will then carefully pack and label materials, designating clearly where they are going upon delivery at the new location. All of this will have been organized during the logistical planning. Together, we will have created the instruction manual for your move — and then our team will follow it to the letter.

Once we’ve moved you in, we’ll be there to handle any loose ends that might crop up while simultaneously doing a clean sweep of the property you’ve left. We will have carefully reviewed your lease and will make sure its exit requirements are met, including deep cleaning and full renovations of the space to return it to move in condition.

Moving an entire office is something you — or members of your staff — may have never done before. But we have. BMSI has, over years of service, developed a thorough and systematic approach to moving a wide range of businesses. We’ll not only help you move, we’ll help you not stress out about it, keeping the headaches at bay.

Moving Your Office At the End of Your Lease

Moving Your Office At the End of Your Lease

When it’s time to pick up the pieces — all of the pieces — and relocate your office there are hundred-and-one things to do. Actually … you’ll be lucky if there are only that many items on the list.

This is even more intense if you’re moving your office at the end of a lease — regardless of whether it’s because your company’s needs have changed or your landlord has other plans for space. Not only does everything need to move, but there are requirements in most leases that need to be met when moving out of the space to avoid the additional out-of-pocket expenses.

It’s hard to know where to start and a thorough review of the lease agreement will lend a clear understanding of the work that will need to be accomplished to decommission the space.  It is certainly expected that the office will be cleaned backward-and-forwards  There may also be a need to, fix those nasty gashes in the wall that, at the time, were easier to just cover up by moving a desk or bookcase over a few feet. And if you aren’t bringing all those cubicles with you, those need to go too.

Let’s just say that one of our purposes in life here at Business Move Solutions is to take over much of this process for you. We’ll do the work, shrink that checklist, and let you focus on other things.

We specialize in all aspects of office moving and office maintenance — including fixing walls, painting, and carpet cleaning, space planning, decommissioning — and a whole host of Workplace Solutions. What our in-house staff can’t handle will get done promptly by the dependable contractors that we have year-round — as opposed to a one-off — relationship with. We also do furniture installation, archive records, warehousing/asset management.

First Things First

Planning is the key. As in, advanced planning. Starting twelve months out, it’s time to comb through your lease and make sure you understand what you’re responsible for. Carpet cleaning? Wall repair? Repainting? As transition planning experts we are happy to help with that review.

Then put together a team that’s going to be responsible for the move and empower them — with a realistic budget — to take the steps necessary to ensure that your end-of-lease requirements are met.

A big part of this planning process should be ensuring that there are good lines of communication not only in-house, but also with your current and future landlords, the many clients and suppliers who need to know you’re soon to be elsewhere, and any outside contractors (hey, like Business Move Solutions) who are going to play a role in the movie.

Kicking It Into Gear

There’s a saying that goes, “The line between disorder and order lies in logistics.” You want your move to be orderly. Ergo, you better not crimp on the logistics.

This means things like bringing the floor plan of your new space to your old space, tape measure in hand, and having a plan about what will fit where (and what might not fit through a doorway without removing the door from the hinges … every inch counts in the moving biz). Oh and by the way, if you need help developing the floor plan as well as the build-out of your new space our experienced Workplace Solutions team is ready to help.

Sounds Easy Peasy, Right?

Moving an office because it’s the end of your lease means lots of issues — on both the front and back end. Not only settling into your new space but fixing everything to meet the requirements of the expiring lease on the old place.

If you’re ready for all that, more power to you. But if you want to ensure a safe, successful transition and a satisfied former landlord, remember that Business Move Solutions is here to help.
